From 1 October 2021, Australians will need a prescription to legally access nicotine containing e cigarette products for any purpose. This includes importing these products from overseas. This means overseas shipments needs to include prescription as part of shipment to clear customs

Starshipit Document Manage
r lets you upload documents (example: prescription) to Startshipit platform and run rules to assign uploaded document file to unshipped orders in just one click.How to upload documents and set-up rules to assign document to an order/shipment
Step 1:
Upload documents to Starshipit Document ManagerAll document to accompany your shipment must be saved as a PDF or Jpeg. Make sure that your documents are clearly named and include Starshipit order variables. Variables can be either
- Order Number - %OurRef%
- Reference Number - %TheirRef%

Starshipit variables can be part of file name as a suffix (e.g. Prescription_1001.pdf) or file name can just be a variable (e.g. 1001.pdf).
Uploading a document works like this:
Go to the ‘Document Manager’ option in the settings page

Click on ‘Upload’ tab

Click “select a file”. Locate where you have saved your file. Select the files you want to upload. Click the open button.


Note: You can upload files up to 10MB & file type can be either PDF or Jpeg
Select the ‘Document Type’.

Click ‘Upload’ to upload files to Document Manager. On upload, the uploaded file will appear in ‘File List’ tab

Step 2: Set up Rules to assign the uploaded documents to the corresponding orders/shipments
. Go to ‘Rules’ and click ‘Add a new rule’

Under Condition(s) select the ‘Condition’ order/shipment must meet before the action is triggered.
Under ‘Action’ select the action ‘Assign Document’ and enter the file name format you have saved the uploaded files in the ‘Document (file) Name’ field and click ‘Save’ to save the rule.
Scenario #1

In the above scenario, if there is a file name with (%TheirRef% = 1001.Pdf) and an order with reference number (%TheirRef% = 1001) then when above rule is applied, the file 1001.Pdf is automatically assigned to order/shipment that has reference number 1001.
Scenario #2

In above scenario, if there is a file name with (%TheirRef% = Prescription_1003.Pdf) and an order with reference number (%TheirRef% = 1003) then when above rule is applied, the file Prescription_1003.Pdf is automatically assigned to order/shipment that has reference number 1003.
Note: A rule can include multi-conditions and one action. An infinite number of rules can be created. You can assign multiple documents to an order/shipment using multiple rules.
Step 3: Run Rules
Go to ‘File List’ & click ‘Run Rules’ to run all saved rules

On completion, you will receive the message below

Note: Assigned orders will show the number of orders the file has been assigned too

In the above example file Order_1003 has been assigned to order number: 287 as part of the rule described in scenario #2

Important: Document rules will not run automatically. You will have to trigger run rules manually to assign documents to orders.
FAQ:
Is it possible to unassign a file/ files from orders?
Yes, there are two ways to remove assigned files from an order/shipment.
1. Single shipment – Click on the ‘Unlink’ option in the file row to remove selected file all assigned order
2. All shipments – click on ‘Remove assigned rule’ to remove all assigned files from all orders/shipments

Can I attach the same file to multiple orders?
Yes, you can attach same file to multiple orders.
Here’s an example where a user wants to add a file called ‘DG Certificate’ to all his unshipped orders. First, the user creates the below rule under his rules list

Uploads ‘DG Certificate’ to his file list. After upload when users run the rules, DG certificate will be added to all his unshipped orders

How do I remove (delete) a file from my file list?
You can remove a file from your file list by clicking on ‘Remove’ option in the file row.
Note: when a file is removed(deleted); it also automatically removes the files from all associated orders.
Is it possible to upload multiple files with the same name?
No, document manager doesn’t allow multiple files with the same name. When you upload a file with the same name, the latest copy of the file will override the previously uploaded file.
Can I upload files with the same file name but different document type for each of them?
No, when you upload a file with the same name but different document type; the latest copy of the file will override previously uploaded file i.e., including overriding document type.
